Setting up a sampling booth

From the shed to setup to breakdown, step by step.

Before you leave

At the farm: keys, your kit, product and ice.

Keys

Getting into the shed

The small red supply shed to the left of the Oakridge Farm Store
1 The shed is the small red building to the left of the Farm Store.

2 Open the cabinet under the register counter.
Shed keys on the shelf inside the cabinet
3 The keys are on the shelf inside.

Lock the shed when you’re done and put the keys back. Other team members may need them.

The shed

Grab your event’s kit

Event kits staged in the shed in taped zones labeled by event
  • Every event has its own zone on the floor, taped off and labeled with the event name.
  • That event’s crate, tent and boxes are staged inside it.
  • Load everything in your zone.
  • Something missing? Grab it from the supplies rack.

Supplies

Where supplies live

Supply shelf with tablecloth bins, sample cups, gloves, paper towels and wash jugs
1st shelf section: 8 ft white and 6 ft black tablecloths, sample cups, gloves, paper towels, plastic bags, wash jugs.
Second shelf section with folding tables, a mini fridge, stickers and giveaway shirts
2nd shelf section: folding tables, mini fridge, stickers and giveaway shirts.

Product and ice

Moozy and ice

Fridge in the shed with Moozy cans and a shelf labeled for an event

Product: the fridge in the shed holds Moozy for the weekend’s events, labeled by event, plus Moozy for staff to grab. Brendan will tell you if you need to take product.

Where to get ice

In-store demo: buy ice at the grocery store and text Brendan the receipt.

Every other event: get ice from the freezer next to the shed. Close the freezer door fully.

Ice · every event except in-store

Your job

Make sure the freezer door shuts every time, so the ice doesn’t melt.

Unused ice does not go back in the freezer.

Running low or out? Text Brendan.

At the event

Clock in, then build the booth in this order.

First thing

Arrive ready, then clock in

  • Arrive early enough to finish setup before the event starts.
  • Moozy shirt on, every shift.
  • Check in: introduce yourself to the market manager or organizer and ask where to set up.

Clock in on PeopleCor

When you arrive, or when you start loading at the shed.

Step 1 · Tent

Stake it, then strap the weights

Large stake through the foot of a tent leg
1 Larger stake through the foot of every leg.
Small stake at a tent leg
2 Small stake is OK, but it still needs a weight bag.
Wrong way: weight bag lying on the ground beside the legWrong way

4 Strap the weight bag to the leg.

Step 2 · Tables

Cover every table

Wrong way: tables covered incorrectlyWrong way
Right way: table covered correctly with a black tableclothRight way
  • Black tablecloth on every table. The 6 ft black tablecloths are on the linens shelf.
  • Pull each one smooth and even so nothing drags on the ground.
  • Stretchy ones go around the table feet; the looser ones rest over the whole table.
  • Set a trash can right by the tables.

Step 3 · If it’s in your kit

Wash station first

Wash station: jug on its own table with a bucket under the spigot
  • Fill the wash jug with water. Put it on its own table, spigot past the edge.
  • Bucket under the spigot.
  • Soap pump on the jug, paper towels beside it.
  • Crate with sanitizer spray, Lysol wipes and hand sanitizer.
  • Wash your hands before touching product.

Food safety · every time

We serve food. Treat it that way.

Wash hands

Before you touch product, and again after breaks or trash.

Sick? Stay home

Just let Brendan know as soon as you can.

Keep every can cold

Unopened cans stay on ice until you pour.

Watch the ice

Swap out melted ice and add more as it goes.

Step 4 · Tub and rack

Fill every holder

Wrong way: half-full can rack with a can loose in the tubWrong way: half-full rack, can loose
  • Set the can rack inside the tub before any ice goes in.
  • Every can goes in a holder, never loose in the bottom of the tub.
  • No half-full racks. Empty holders make the display look bad.
  • Keep Moozy cold from the cooler to the tub.
  • Keep product on ice. Count every can used, by flavor, and send the totals to Brendan.
  • Staff may keep leftover cans set aside for sampling, opened or unopened. Keep them cold and include any cans taken by staff in your recap to Brendan. Return all remaining unsold event inventory to its designated refrigerated storage.

Step 5 · Ice and signs

Ice it, then hang the signs

Right way: tub packed with ice, cans in the holders, two signs hanging on the frontRight way: cans in holders, iced
Iced tub from the front with both signs centered

Pack ice around the cans, then hang both signs on the front of the tub.

Step 6 · Display and samples

Display cans and sample cups

Right way: one display can per flavor with two filled sample cups in front of eachRight way
Close-up of sample cups: the left cup is filled right, the other two are too lowLeft cup is right. Other two are too low.
  • One display can per flavor, two sample cups in front of each matching can.
  • Be generous with samples and use your judgment.
  • Pour cups of each flavor and refill as they go.
  • Ask about allergies before every sample.

Step 7 · Signs out

Banner: feet out, then zip tie it

1 Rotate the feet from in-line to supporting.

2 Stand it right against a tent leg.
Zip tie holding the banner pole to the tent leg
3 Zip tie the pole to the tent leg.

Also out on the table: QR code, A2A2 and market signs. Keep the trash can within reach.

Step 8 · Under the table

Supplies go under the table

Right way: supply crate stored under the table behind the tableclothRight way
  • Keep the supply crate under the main table, behind the tablecloth.
  • Restock cups and supplies from it as you go.
  • Keep the tabletop clear for product and signs.

After the event

Break down, put it all back, send your recap.

Breakdown

Put it all back

  • Count the cans used, by flavor. The Square and cash box go back in the shed.
  • Return your event’s kit to the red taped square you pulled it from. Lock the shed and put the keys back in the cabinet.
  • Staff may keep leftover cans set aside for sampling, opened or unopened. Keep them cold and include any cans taken by staff in your recap to Brendan. Return all remaining unsold event inventory to its designated refrigerated storage.
  • Take out all trash and thank the organizer.
